Agreement to Terms

Welcome to RJ VIP Transfer Booking Agency. These Terms and Conditions ("Terms") govern your use of our booking platform and services. By accessing or using our website and booking services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our services.

Contract Formation: Submission of a booking request does not create a binding service contract. A legally binding contract is formed only once payment has been confirmed and accepted by the company.
Timezone Information: All times referenced in these Terms and Conditions, booking confirmations, and communications are in UK local time (GMT/BST).

About Our Service

RJ VIP Transfer Booking Agency is a transfer booking agency that connects travelers with verified, authorized, and professional transfer companies. We do not operate transfer vehicles ourselves. We act as an intermediary between you and licensed transfer partners.

Important: We carefully vet all transfer partners to ensure they meet safety, licensing, and service quality standards. However, the actual transfer service is provided by our partner companies, not by RJ VIP Transfer Booking Agency.
Agency / Intermediary Liability Clarification: The company operates as a booking and transfer coordination agency. Transfer services may be carried out by independent drivers or subcontracted transport providers. While the company undertakes reasonable due diligence when selecting service providers, operational responsibility for vehicle operation and driving services rests with the assigned transport provider.

Important: Full payment via Online ve Wise is required before travel. All payments are processed securely through our trusted payment platform.

Cancellation & Refund Policy

Cancellation and refund terms for your booking:

eSIM Packages Non-Refundable
eSIM Packages: eSIM packages purchased as part of your booking are non-refundable under all circumstances, including cancellation within the 14-day cooling-off period, after payment confirmation, or for any other reason. Once payment is made for an eSIM package, no refund will be provided regardless of cancellation timing or eligibility for transfer fee refunds.
Flight Delays: It is your responsibility to provide your flight code for airport pickups. If you fail to provide your flight code and there are delays, you are responsible for any additional waiting charges.
Important: The 14-day UK consumer right applies from the date you make your booking. However, if the service date falls within the 14-day period, you can still cancel but a 20% deduction will be applied to your refund to reflect proportionate operational costs. After 14 days, a 20% deduction also applies. The transfer fee is non-refundable once the service has been fully performed.
Return Trip Reservations: For return trip reservations, if the departure trip has been completed and you cancel the return trip more than 24 hours before the scheduled return date, you are eligible for a refund of the return trip fee only. The departure trip fee is non-refundable as the service has been completed. If both trips have been completed, no refund is available.
24-Hour Restriction: Refunds are not available if cancellation occurs within 24 hours of the scheduled service date, regardless of other eligibility criteria.
Note: For detailed cancellation and refund information, including the 20% deduction calculation and 24-hour restriction, please see our Refund Policy. Important: eSIM packages are non-refundable under all circumstances.

No-Show Policy

A "no-show" occurs when a customer fails to appear at the agreed pickup location and time without prior notification or cancellation. By making a booking with us, you acknowledge and accept our no-show policy, including waiting time limits, driver arrival procedures, and conditions under which your booking will be classified as a customer no-show.

Waiting Time Limits
  • Standard Pickups: Our drivers will wait for a maximum of 15 minutes after the scheduled pickup time at the agreed location. If you do not appear within this time frame, the booking will be classified as a no-show.
  • Airport Pickups: For airport pickups, drivers will wait for a maximum of 60 minutes after the flight arrival time (if flight code is provided and flight is on time). If your flight is delayed, you must notify us immediately. Failure to appear within the waiting time limit will result in a no-show classification.
  • Extended Waiting: If you require additional waiting time due to circumstances beyond your control (e.g., flight delays, customs delays), you must contact us immediately. We may, at our discretion, extend the waiting time, but this must be arranged in advance or as soon as possible.
Driver Arrival Procedures
  • On-Time Arrival: Our drivers will arrive at the agreed pickup location at the scheduled time (or flight arrival time for airport pickups). Drivers will be clearly identifiable and will wait at the designated pickup point.
  • Contact Attempts: If you do not appear at the scheduled time, the driver will attempt to contact you using the phone number provided during booking. The driver will make reasonable efforts to reach you via phone call or text message.
  • No-Show Classification: If contact cannot be established after reasonable attempts and you do not appear within the waiting time limit, the booking will be classified as a no-show. The driver will leave the location, and the service will be considered completed.
No-Show Consequences
Important: If your booking is classified as a no-show, you will not be eligible for any refund, including transfer fees. This applies regardless of the cancellation period, consumer rights, or any other circumstances, except where required by applicable law.
Your Responsibility: It is your responsibility to be present at the agreed pickup location and time. You must ensure that the contact phone number provided during booking is correct and that you are reachable. If you anticipate delays, you must contact us immediately to avoid a no-show classification.

User Responsibilities

By using our services, you agree to:

  • Provide Accurate Information: You must provide accurate, complete, and current information when making a booking. Incorrect information may result in service delays or additional charges.
  • Be Present at Pickup: You must be present at the agreed pickup location and time. Failure to appear (no-show) results in no refund.
  • Respect Transfer Partner: You must treat drivers and vehicles with respect. Damage to vehicles or inappropriate behavior may result in additional charges or legal action.
  • Notify Changes & Provide Flight Code: You must notify us immediately of any changes to flight times, pickup locations, or passenger count. For airport pickups, you must provide your flight code. Failure to provide flight code may result in additional waiting charges for flight delays. Late changes may incur additional fees.
  • Comply with Laws: You must comply with all applicable laws and regulations during your use of our services.

Limitation: We are not responsible for the actual transfer service, driver behavior, vehicle condition, or delays caused by the transfer partner. These are the responsibility of the transfer partner.

Limitation of Liability

To the maximum extent permitted by law:

  • Service Intermediary: RJ VIP Transfer Booking Agency acts as a booking intermediary. We are not responsible for the actual transfer service, driver actions, vehicle condition, delays, accidents, or any incidents during the transfer.
  • Transfer Partner Responsibility: All issues related to the actual transfer (delays, vehicle problems, driver behavior, accidents) are the responsibility of the transfer partner, not RJ VIP Transfer Booking Agency.
  • Maximum Liability: Our maximum liability is limited to the amount paid to us. We are not liable for any indirect, consequential, or punitive damages.
  • Delay & Force Majeure: The company shall not be liable for delays caused by traffic, weather conditions, road closures, accidents, or circumstances beyond reasonable control. We are not liable for delays or cancellations due to circumstances beyond our control (weather, natural disasters, government actions, pandemics, etc.).

Note: For issues related to the actual transfer service (driver, vehicle, delays), we will facilitate communication with the transfer partner, but resolution is ultimately between you and the transfer partner.

All content on this website, including text, graphics, logos, images, and software, is the property of RJ VIP Transfer Booking Agency or its licensors and is protected by copyright and trademark laws. You may not reproduce, distribute, or use any content without our written permission.

Changes to Terms

We reserve the right to modify these Terms at any time. Changes will be effective immediately upon posting on this page. Your continued use of our services after changes are posted constitutes acceptance of the modified Terms. We recommend reviewing these Terms periodically.

Consumer Rights (UK)

As a UK-based transfer booking agency, we comply with UK consumer protection laws, including the Consumer Contracts Regulations 2013 and Consumer Rights Act 2015.

Important - Right to Cancel: Under UK consumer law, you have the right to cancel your booking within 14 days from the date you make your booking. However, if the service (transfer) is scheduled to begin before the 14-day cancellation period ends, you will lose your right to cancel once the service has been fully performed.
Service Fully Performed Definition: For the purposes of cancellation and refund rights, a service shall be considered fully performed when:
  • The scheduled transfer journey has been completed, OR
  • The customer fails to attend the agreed pickup location at the scheduled time and the contracted waiting period has elapsed.
Timezone Information: All times referenced in these Terms and Conditions, booking confirmations, and related communications are in UK local time (GMT/BST).
14-Day Cancellation Right

You have the right to cancel your booking within 14 days from the booking date without giving any reason. This right applies from the day you make your booking and allows for a full refund if the service has not yet been performed.

Service Performance Exception

If the transfer service is scheduled to begin before the 14-day period ends, and the service is fully performed, you lose your right to cancel. This is because the service cannot be "returned" once completed. No refund will be provided in this case.

Refund After 14 Days: Once the 14-day cancellation right has expired, the transfer fee is non-refundable. Refunds are only available if you cancel within the 14-day period and the service date is scheduled after the 14-day period.
Checkout Acknowledgment: At checkout, you will be required to tick a checkbox acknowledging that you request early performance of the service and understand that you will lose your 14-day cancellation right once the service has been fully performed. By ticking the relevant checkbox at checkout, you expressly request early performance of the service and acknowledge the loss of your cancellation right once the service has been fully performed.
Alternative Dispute Resolution (ADR): If a complaint cannot be resolved directly with the company, customers may refer the matter to an approved UK Alternative Dispute Resolution (ADR) provider. A list of approved ADR providers is maintained by UK Trading Standards.

VAT Information

RJ VIP Transfer Booking Agency is currently not VAT registered. All prices displayed on our website are exclusive of VAT. The prices you see are the final prices you will pay.

Note: If we become VAT registered in the future, we will update our pricing and clearly indicate when VAT applies. Any changes will be communicated to customers in advance.

Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of England and Wales. Any disputes arising from these Terms or our services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

Payment Reference Responsibility: Customers are responsible for ensuring that correct booking references or payment references are included when making bank transfers. The company cannot accept liability for delays or processing failures resulting from incorrect or missing payment references.
